CANCELLATION POLICY:

If you are unable to attend an appointment as planned, we ask that you give  24 hours’ notice. We understand that sometimes this is not possible, and in these instances we will do our best to work around you. However, in circumstances where we are unable to fill your appointment with  another client from the waiting list, we reserve the right to charge for appointments where less than 24 hours’ notice is given.

PRIVACY POLICY:

The Childrey Practice is committed to keeping your information safe and confidentiality is a priority of good practice.   This policy aims for transparency in what we do with your data.

What and whose data do we hold?

In order to administer appointments appropriately and to identify you safely, we ask the following details from those who are new clients or those who had enquired about therapy and wish to be added to a waiting list:

Name

Email address

Date of Birth

It is not always essential or appropriate to gather information on the presenting problem and this is at the discretion of the enquirer/client.  If this information is given it will be recorded.

Data Gathered During Therapy

During therapy, other identifiable parameters will be gathered such as the clients address.  GP details may be helpful but not essential depending on the clinical case. Personal information is accessible only to the client and the therapist (of The Childrey Practice).  Other involved healthcare professionals will have access to relevant personal information only after consent from the client. This will be obtained in writing.

Specific health conditions should be disclosed by the client and recorded to ensure safety (such as diabetes, asthma and epilepsy).  Other information gathered can be helpful to aid good clinical outcomes but at the free will of the client.  Information offered by the client in the clinical setting assumes consent to be recorded.

What we do with your Data

Section B8 of the Complementary and Natural Healthcare Council Code requires The Childrey Practice to keep client records and data  safely and in good condition for eight years from the date of the client’s last visit or, if the client is a child, until his or her 25th birthday, or 26th birthday if the client was 17 when the treatment ended. This means that The Childrey Practice has a ‘legitimate interest’ in retaining records for this period.

Data gathered is for the sole use of the practitioner/therapist.  Information is not shared with anyone else (except in the case of other health care professionals for the benefit of your care as highlighted above).  The Childrey Practice does not send marketing emails or marketing texts to individuals, nor are individual contact details ever shared for marketing purposes of third parties.

 

Information gathered on paper documents are stored securely as advised by the Information Commissioner’s Office. Computer held records are also kept.  The records contain information gathered in the clinical sessions or if you have requested to go on the Childrey Practice waiting list.  This is on an established secure online scheduling and notes system called “Cliniko” and information on their data protection and privacy policy can be found here:
